DUTIES AND RESPONSIBILITES
Plan the Director's diary and undertake general office organisation
Deal with incoming mail/email and act as confidential secretary
Screening phone calls, enquiries and requests - handling them when appropriate
Draft letters, board minutes, agendas and weekly Directors' meeting notes as required
Prepare papers, reports and PowerPoint presentations as necessary
Meeting and greeting visitors at all levels of seniority providing a welcoming environment for visitors and telephone callers.
Arrange Director's attendance at conferences, exhibitions, shows and meetings
Carrying out background research and presenting findings
Organising and attending meetings/events and ensuring the Director is well prepared for meetings.
Liaising with clients, suppliers and other staff
Undertaking specific projects
Occasionally deputising for the Director, making decisions and delegating work to others as necessary.
QUALIFICATIONS AND REQUIREMENTS
Excellent communication skills both written and verbal
Good command of the English language, other languages an advantage
Strong phone skills
Able to multi-task and handle the pressure
Previous experience in a PA/EA/ Executive Secretarial role

Experience using Google Docs, Sheets etc
Excellent time management.
The ability to manage time and perform under pressure
Excellent communication skills required to work with all staff members.
Expert Knowledge of Microsoft office and outlook for Business (especially calendar features).

An appreciation of design, it would be great if you have worked in the education or training industry, though not essential.

Ability to maintain confidentiality
Minimum Experience: Minimum of 5 years as an Executive Secretary or PA or EA in reputed organisation/s.
Minimum Education Level: Educated to at least bachelor (degree) standard or equivalent. Higher education qualification in Business/ Management/ Administration/ Business English will be an advantage.
Working knowledge of different ICT software (MS Office), CRM systems and Google Calendars etc.
